About

The Facility Access & Hospitality Associate will work from the front desk at our facilities and will be responsible for maintaining access and security control.  This individual will be initial person seen to all vendors, visitors, and staff.  This role is responsible for the daily maintenance, care, and organization of facility common spaces, kitchens, and copy rooms. This individual will be responsible for the execution and assistance with the seat reservation and visitor management tools and processes.  This individual will assist with and be part of the Emergency Response Team (ERT).   This position reports to the Director of Corporate Facilities and Administration.  

Responsibilities

  • Managing flow of the front desk, including greeting, assisting guests, and ensuring  facility access and security procedures are followed
  • Support logistics for meeting requests via Facilities Service Desk Portal (Jira) for conference rooms including conference room scheduling, securing multiple meeting spaces both on and off site
  • Support with on-boarding and off-boarding employees and consultants, setup new workstations, and maintain on and off boarding data.
  • Stock, organize and take responsibility for the common areas, including maintaining scheduled cleaning of refrigerators and appliances
  • Responsible for assisting with maintaining and keeping inventory in common areas, kitchen and office supplies
  • Receipt and distribution of mail including packages and inter-office mail
  • Assist with Internal Communications
  • Keep lobby and entry desk area clear and organized
  • Learn and understand the nature of the business to provide value-added service and enhance working relationships both, internally and externally
  • Assist with administrative support, facility related tasks, and other duties as requested by Corporate Facilities Director

 
Key Qualifications and Skills

  • Two plus years of administrative/hospitality experience
  • Proficient oral and written communication skills
  • Proficient in MS Word, Excel, Outlook, and PowerPoint
  • Proficient grammatical, editing, and proofreading skills
  • Proficient organizational and prioritization skills
  • High school graduate: Additional skills with military, trade school and/or other administrative training in business, facility access, shipping/receiving, office administration or hospitality services is a plus.
  • Demonstrated skills in attention to detail
  • Ability to problem-solve, prioritize, and be flexible
  • Ability to conduct and present oneself in a professional manner with both internal and external visitors and staff
  • Proven ability to work independently with minimal supervision
  • Ability to receive and provide constructive feedback on work performance
  • Exhibit diplomacy and dealing effectively with demanding people
  • Occasionally work overtime and at hours that accommodate business and meeting schedules
  • Personal transportation may be required
