About

The Fixed Assets Manager will be responsible for accurate accounting, reporting of fixed assets, including government funded equipment, properties and commercial assets. Monitoring the fixed assets of the company including acquisition, entry and removal from WIP, placing in service, disposal, sale, and transfer. The fixed asset accountant will work cross functionally with procurement, lab personnel, IT, and others on updating and verify asset tracking information in the asset database. The individual will be responsible for government compliance, audit, insurance, and tax related fixed asset tasks. The successful candidate will demonstrate extensive knowledge in GAAP, Federal Acquisition Regulation (FAR), and the Uniform Guidance (2 CFR 200).

 

Responsibilities

  • In charge of all aspects of maintaining and recording fixed assets
  • Perform regular physical inventory counts of fixed assets with specific focus on government asset inventory criteria
  • Calculate depreciation for all fixed assets using BNA software, record journal entries by project in Netsuite accounting system
  • Maintain a detailed schedule of work in progress fixed assets and coordinate with purchase/receiving managers to provide monthly update on the status
  • Analyze WIP assets by project, capitalize and place assets in service when projects are complete
  • Track all recorded assets by location and summarize transfer of asset from one location to another quarterly
  • Perform periodic impairment reviews for tangible and intangible assets
  • Identify potential obsolescence of fixed assets, fully depreciated assets; provide recommendations to management regarding the disposal (or not) of fixed assets
  • Perform analysis related to fixed assets including aging schedules and prepare financial metrics on assets for monthly trial balance review
  • Prepare audit schedules for fixed assets and support audit inquiries
  • Prepare compliance reports such as form SF-428
  • Support property insurance related activities such as preparation of the property schedule of value (SOV) location, cost basis, replacement value
  • Maintain schedules to support tax filing requirements, (i.e property tax, sales/use tax, B&O tax)
  • Analyze asset requests to ensure proper classification as a capital asset at the onset of purchase order (PO) stage, and when invoices arrive, the GL classification is accurate and consistent with PO
  • Support three-way matching, complete monthly, quarterly, and yearly reconciliations
  • Support lease accounting
  • Perform asset approvals, capitalization, and disposals
  • Prepare journal entries, account analysis and reporting, including all Fixed Asset schedules
  • Develop and implement policies and procedures to improve efficiencies
  • Apply general knowledge of accounting/government policies and procedures when responding to written and verbal inquiries from stakeholders
  • Work closely with procurement and technical representatives to obtain data
  • Support general ledger accounting including account reconciliations and journal entry posting; strong working knowledge of new accounting pronouncements
  • Perform moderately complex accounting tasks/analysis, categorize data for reporting and audit purpose

 

Key Qualifications and Skills

  • B.S. degree in Accounting or related field or the equivalent business-experience
  • Minimum of 5 years work experience in an accounting environment
  • Must be proficient with Microsoft Excel and able to quickly adapt to other Finance and Accounting systems (i.e. NetSuite, Deltek or MS Dynamics AX)
  • Experience with and strong understanding of internal controls
  • Working knowledge of government grant and/or government contracts is preferred
  • Highly organized and detail-oriented; high degree of accuracy
  • Capable of quickly comprehending new information and technologies
  • Capable of working in a fast-paced environment
  • Strong communication skills, comfortable working with operations team/non-accounting professionals, deal with complex accounting/project codes/org codes 
  • Analytical/problem solving – ability to identify, analyze and resolve problems in a timely manner
  • Ability to prioritize and plan work activities
  • Must be team oriented, willing to operate within a collaborative, multi-disciplinary environment
